Privacy notice
How Fit Mums by Cassie handles information used to manage studio accounts, classes, memberships and communications.
Information we collect
We collect account and contact details, emergency-contact details, participation acknowledgement, bookings and attendance, membership and payment references, notification choices, private class feedback, and technical security or error information. Card details are entered into Square and are not stored by Fit Mums by Cassie.
Why we use it
We use this information to create and secure accounts, operate classes and waitlists, administer memberships and payments, provide support, send communications you have selected, respond to safety needs, protect the service, and meet applicable record-keeping obligations.
Public website analytics
On public marketing and sign-up pages, we use self-hosted, cookie-free analytics to understand page visits, page speed, campaign tags such as an Instagram campaign, and selected actions such as choosing a membership or moving through sign-up. The $99 trial page includes a secure Square card form; there we record the same page visit and selected actions, but nothing you type into the form or card field. We do not send form values, names, contact details or activity from the private client portal, administration pages or checkout pages. The analytics service honours browser Do Not Track and Global Privacy Control settings and does not retain visitors' IP addresses.
Cookies
We use an essential session cookie to keep you signed in and protect forms from misuse. If you open a member’s bring-a-friend link, a signed cookie remembers that referral for 30 days. We do not use advertising or cross-site tracking cookies.
Protecting our forms
We use Cloudflare Turnstile on account, password-reset and contact forms to reduce automated spam. Cloudflare processes technical browser and network information for this security check. Learn more in Cloudflare’s privacy policy.
Area map
Our footer uses OpenStreetMap to show the Mernda area. When the map loads, your browser connects to OpenStreetMap and shares technical information such as your IP address. We do not include the studio’s private address or send the page address with the map request. Read OpenStreetMap’s privacy policy.
Who processes it
Information is available to authorised studio staff and may be processed by service providers used for hosting, Square billing, email delivery, opted-in SMS or web push delivery, and error monitoring. If an administrator deliberately connects the studio’s protected AI assistant, the assistant may process the minimum operational client, roster, booking and membership information needed for that request. Private notes and emergency-contact details are excluded from the AI connector. We do not sell personal information.
Storage and retention
We restrict access to studio records and retain information only while it is reasonably needed to provide the service, resolve disputes, maintain financial or safety records, or meet legal obligations. Detailed SMS content and raw billing-provider diagnostic payloads are normally redacted after 90 days, while the smaller booking, payment and consent records needed for studio, financial or legal purposes may be retained longer.
Your choices and requests
You can update profile and notification choices in your account. To request access, correction or deletion of information, or to ask a privacy question, contact the studio. Some records may need to be retained where required by law or for legitimate safety, financial or dispute purposes.
